Notifications for Maintain Media Types

Various notification types are available on the Notifications tab. Setting up notifications by Media Type allows for more customized messaging than System Default notifications. An enrollment notification for an online course may have different instructions than what is needed for an instructor-led course. Using notifications by Media Type gives administrators the flexibility to create this more customized messaging.

To enable a given notification, go to Tools > Maintain Media Types, select the desired Media Type from the list, and click Edit in the toolbar. When the Media Type opens in edit mode, go to the Notifications tab. Check the Enable box and enter the desired text for the Subject and Body of the notification. Only the notification types that have been enabled will be sent, so visit the sub-tab of each notification type that should be active.

The exact notification types available will vary based on the configuration of your LMS; however, the notifications that can be configured per media type are typically the same notifications that are found on the Notifications tab of the Maintain Learning Resources Screen. When the Media Type notifications are enabled, these will be sent out in place of the system-wide default notification. If course specific enrollment notifications have been enabled, then the course specific notifications will be sent in place of both the media type and system default notifications.

Can be sent the evening of the course completion or by using the days drop-down on the notification, the notification can be set to go out any day thereafter. Intended to provide follow up information after the course is complete.

Note for ILT: The timing of this notification is based on the user’s completion date. If the days drop-down is left at “0” and credit for an ILT class is processed 2 days after the class was completed, no one will receive this notification because by the time credit is processed, no one falls into the 0 day window. Best practice is to set the days drop-down for ILT courses several days out and then be sure that credit is processed in a timely manner.

Timing Note for all: When this notification is enabled, it will be sent to anyone who had a completion within the selected time frame, even if the completion occurred before the notification was enabled. For example if the notification is set to go out 30 days after completion and is enabled on October 1, it will be sent to users who completed it on September 1 (even though the notification was not enabled at that time).
