Frequently Asked Questions

Listed below are some questions that you may have as a new administrator.  Use these questions and answers to help you get started and then access the rest of the Online Help file for specific pages and step-by-step instructions on how to perform the transaction.

People

• How do I add someone's name to the Instructor drop-down box?
  
  A user must be given the Instructor security role in order to appear in the Instructor drop-down box.  Go to People > Maintain People and Security, then search for the user.  Edit the user account, then go to the Roles and Security tab to give the user the Instructor role.

• Where do I go to create a new SCORM course?
  
  Go to the Course Import Wizard.  The Course Import Wizard can be accessed under the Wizards menu in the Navigation Bar.

• How do I upload new course files to an existing online course?
  
  Go to the Course Import Wizard and select the option to update content to an existing course.  Follow the prompts and upload the zip file of the new course files.

• Where do I go to create a new Instructor-Led course?
  
  Go to Maintain Learning Resources and select Facilitated Training as the Type of Resource.

  Go to Maintain Learning Resources and select Content-Assessment as the Type of Resource.

• Where do I go to create a certificate?
  
  Go to Maintain Learning Resources and select Training Plan/Certificate Program as the Type of Resource.

• Where do I upload the video for a video course?
  
  Go to Maintain Learning Resources and select Video Based Training as the Type of Resource.  Then go to the Video tab and upload the video.

• Where is the Ad Hoc Reporting Tool?
  
  It is located on the Administer Reports screen under the Reports header.  Once on this screen, click New and then go into the Report Wizard.

• What report will show me all of the users in the LMS?
  
  The Employee Demographic Report will list all active users in the LMS and their domain information.

• What report will show me all of the resources in the LMS?

• How can I find out how users responded to a course evaluation?
  
  There are several reports that show evaluation responses.  These include:

• How can I organize reports in the Report Catalog?
  
  Go to Reports > Maintain Report Permissions to customize which reports are listed under each report category.

• Where is the Report Scheduling Tool?
  
  To schedule a report, first run the report with all of the appropriate criteria selected.  Once the report is complete, right-click on the report link and select the Schedule Report option.

Enrollments

• How can I enroll a user into a course?
  
  (All of these enrollment options will put the course on the Elective section of the Learning Plan.)
  
  1. Use the Enroll Others button:  This option can be accessed through the Course Description page.  An administrator can access the Course Description page through the Course Catalog, Learning Plan/History, or Maintain Learning Resources (click Preview button).
  
  This option is best for the quick enrollment of a few people (manual search by last name) or quick enrollment of a larger group using the clipboard feature.  This is an especially quick and easy way to enroll a large number of people into a specific Facilitated (ILT) class session.

• How can I access the Enroll Others function from the Administrator's Console?
  
  Go to Resources > Maintain Learning Resources and search for the course.  Highlight the selected course and click the Preview button in the top toolbar.  This will display the Course Description page which contains the Enroll Others button.
   
• How can I create a Required enrollment?
  
  A required enrollment can only be created by creating a required audience.  A required audience can be created through the Audience tab of the Maintain Learning Resources Screen or through a Mapping Curriculum.

Other

• Where do I enter the text for the Announcement widget?
  
  Go to Tools > Maintain Announcements to enter the text and audience for an announcement.  All active announcements for which the user is in the audience will automatically display in the Announcement widget.

• When is my notification going to be sent?
  
  It depends on the type of notification.  Some notifications are sent immediately and some are sent overnight.  See Managing Notifications for detailed information on each type of notification, including their purpose and timing.
